Eagle Ranch Property Owners Association Board Meeting – April 11, 2013

The meeting opened at 6:37 pm
1. Road Report – Tom stated that the Association bought a trailer for the water tank, which will be used for road gradings. It will probably take $800 to $900 to get the trailer with water tank operational. We also need to purchase a sump pump, to draw water into the tank, from the ditch or Salt Creek, if the ditch is dry. This pump will cost about $500. Tom stated that we will need more road base for the next grading, which will probably take place later on this month. We will probably need 3 loads of road base for Nolan Dr. and 2 loads each for Siegel Way and Kaitlyn Dr. Roger Havel is interested in learning how to use the grader. He is also the person on standby to do snow removal, if needed.
2. Treasurer’s Report – Ken S. distributed copies of the 2012 Treasurer’s Report (see attached), and explained some of the figures on that report. Ken also distributed a Balance Sheet, which is a snapshot of our current assets and liabilities. This sheet will not be published, but individual figures can be obtained from Ken, if so desired. Ken stated that we currently have 23 properties that are delinquent in their payments to the association. They collectively owe more than $18,000. Reminders have been sent out to all who are behind with their payments. Liens on 4 lots will be placed tomorrow. Some of the delinquent lot owners are making payments to the collection agency, while some other ones are going through court proceedings, with our lawyer. We would like to pull one delinquent account away from the collection agency, as there has been no activity on it since being turned over to them. We will turn that account over to our lawyer. Ken stated that he will not accept partial payments from individuals, as it is too much of a burden to keep all the paperwork straight.
3. Website – The name of our new website is ERPOA.US. The website is up running and contains the same information as the old one did. The former website of ERHOA.ORG is no longer active. The administrator function for maintaining the new website has not been assigned yet. That function should go to the secretary and Ken M. will implement that change. He also distributed to the board a list of all the titles, usernames, passwords, etc. that are associated with the new website. The individual board members can view all emails that are sent to their board email addresses. However it is not very convenient and must be periodically checked. Ken M. is looking for an alternative. We will need to correct the various entranceway signs, which currently state our old website. Ken M. suggested pasting a sticker with the new website name on each one of those signs.
