Eagle Ranch Property Owners Association Annual Meeting,
held on June 25, 2011, at the Atchley residence on Eagle Ranch
Present – All board members and
11 Lot owners
The meeting was opened by president Tom Ossner at 11:39 am
1. Proxies – With the 11 lot owners present and 12 mail-in proxie votes, we had enough votes for a quoram at this annual meeting. The vote for the 2012 budget and assessments was approved 25 to 4.
2. Disclosure Statement – The 2011 meeting disclosure statement was read by the president.
3. Annual Meeting Minutes – The 2010 annual meeting minutes were read by secretary Horst Armbrust. These minutes can be read on our website – ERHOA.ORG. The minutes were approved by the membership.
4. Treasurer’s Report – Treasurer Cathi Scriven handed out (copy attached), and gave an explanation of the treasurer’s report. The total amount in our ERPOA budget is $26,022.22. Cathi mentioned we still have 14 lot owners that are not up to date with their payments.
5. Audits – Tom mentioned that we did have an audit performed this year on our books, by a committee made up of homeowners. The audit passed with a few minor things noted. Future audits will most likely be performed on a yearly basis. Tom was asked by our insurance company if we did perform audits on our books. Tom Atchley (member-at-large) asked about record keeping of decisions reached by the board and various expenses to be paid out. Horst said that minutes of our board meeting are posted on our website, after they are approved by the board, and Tom Ossner mentioned that we have checks and balances of expenses incurred.
6. Road and Bridge Report – Vice president Alan Lucas said that the Reba Ct. bridge maintenance is now complete and that the Kaitlyn bridge at this point is still not covered. He is looking at bids to have the bridge covered with wood. The status of the bridges was discussed, as far as replacing them, load capacities and infringing on the water flow below them. Road maintenance was also discussed, with Tom mentioning that our roads are in much better shape than most others in our vicinity. The suggestion was made to have the county maintain our roads, but that is not possible because these are our private roads.
7. Questions/comments – There were several questions and comments made on the mailed in statements/proxies. Tom mentioned that the board could not take actions on complaints made about other neighbors or their property, unless they go against our covenants.
8. Grazing Rights – Tom said that currently Red Creek Ranch has those rights, and it looks like we cannot take them over at this point.
9. Road Committee – Volunteers for the road committee were solicited by Tom. All the current committee members volunteered again. They are Bob Robler, Vernon Wood, Ken Simpson, and Dan Tobin, with Alan Lucas being in charge of the committee.
